Measuring Tutoring Effectiveness Through Data

In this National Student Support Accelerator webinar, we will cover the ways in which tutoring programs can utilize data in order measure their program’s effectiveness in terms of both student learning and tutor teaching quality.

In considering how you can use data for measuring your tutoring and general program efficacy, this video will discuss what a Performance Measurement Plan is, what it includes, and what its benefits are in order to best serve your organization. We will also discuss what data to collect to get a better sense of this efficacy, as well as the importance of having a regular data review process.

A Performance Measurement Plan is essentially an outline of how to assess your program’s progress towards its desired impact. This should include key benchmarks to hit by specific dates, as well as a reusable and consistent roadmap for finding answers to questions like “Are we on track?”, “What are we doing well?” and, “How can we improve?” Note that this Plan should be completed after defining your program’s Logic Model, which will outline the design of your program as it relates to your goals.

Within the Performance Measurement Plan that your organization creates, there should be four main components:

  1. Your logic model, or the specific aspect of your program that you are measuring
  2. Measures, or criteria that will define your success and see if a step in your Logic Model was implemented and achieved
  3. Tools, or the procedures being used to capture relevant information
  4. And lastly, performance expectations, or the benchmarks and expected progress that you would like to achieve

This Plan can be a crucial tool towards allowing your program to understand its strengths, areas of improvement, and necessary courses of action. Among other benefits, your Performance Measurement Plan can be useful in providing a way to measure your organization’s progress towards its goals, making important information more accessible, making annual updates to improve your program’s Logic Model, and ensuring that your program’s implementation quality and information structure is maintained as your program expands and changes.

Once your Performance Measurement Plan is developed, you can decide which data measures will work best to track your program’s efficacy. Examples of data collection tools that you can utilize include administrative records and checklists, rubrics, surveys, interviews, student work or session assessments, and standardized assessments.

After collecting this data, it is important to set in place measures for consistent data review, as your understanding of your program’s efficacy will only be as good as your understanding of your program’s updated data. Having a regular data review process can help your program to institutionalize its focus on learning and improvement at a high-level, and also ensure that your program is consistently progressing towards its goals. Consistently reviewing your program’s progress can also serve to better hold the program accountable for making a positive impact on students. Note that when setting up a process that works best for your program and staff, it is important to consider who will be responsible for collecting, reviewing, and acting on these data insights, as well as who will support those acting on the data and will need to be informed about these insights. With your Performance Measurement Plan, data collection tools, and data review process set up, your program will be well-equipped to effectively measure your program’s impact and efficacy.
